Assign a new working pattern and holiday allowance
If your employee changes their hours part the way through a holiday year, you will need to assign them to a new working pattern and holiday allowance that reflects their new hours/entitlement.
These should only be assigned on the date of the change.
We recommend that you place a note on the employee profile under their notes section detailing the changes made and the date that this was done.
Adjust the new holiday allowance to allow for change in hours
Increasing their hours?
The new allowance will need to be adjusted DOWN to compensate for the time that the employee was working fewer hours.
Decreasing their hours?
The new allowance will need to be adjusted UP to compensate for the time that the employee was working more hours.
What if I have to swap the employee over to a holiday allowance that is measured in hours rather than days or vice versa?
You will be required to purge all holiday data before making the change.
Once you have purged the data, take the following steps:
- Assign the new holiday allowance.
- Re-enter all the holiday records for the period BEFORE the change in working hours took place on the OLD working pattern. This is because you want the system to be looking at the old working hours when making the deductions from the holiday allowance for these particular records.
- Assign the new working pattern.
- Re-enter all the holiday records for the period AFTER the change in working hours took place.
